What underwriters look for in your bank statements

Four months of statements answer almost every question that matters.

Four months of business bank statements are requested because they answer almost everything at once: how much genuinely arrives, how regularly, what the balance looks like between deposits, and what is already being repaid. They replace tax returns, projections and collateral.

The five things being read

Total deposits. Not revenue on paper — money that actually landed.

Deposit count and rhythm. Many smaller deposits suggest recurring customers; a single large one suggests concentration risk.

Average daily balance. This shows whether the business runs with a cushion or at the edge, and it directly affects what payment size is considered supportable.

Overdrafts and negative days. A few across four months is normal. A pattern signals that the account cannot absorb another fixed payment.

Existing obligations. Regular debits to other funders are visible and are counted.

What helps a file read well

Complete months, all pages, including the blank ones. Partial statements are the most common cause of delay.

The business name on the account matching the application exactly.

Revenue running through the business account rather than a personal one — money in a personal account generally cannot be counted.

A short note explaining anything unusual. One quiet month with a reason attached reads very differently from one left unexplained. Seasonal businesses have a whole playbook here — our seasonal cash flow guide covers it.

What does not help

Timing an application immediately after the worst month of the year, if it can wait. Moving money between your own accounts to inflate deposit totals — transfers are identifiable and their presence damages credibility more than a lower total would have.

Getting your statements ready

Download the official PDFs from your bank rather than exporting a transaction list or screenshotting the app. Official statements carry the bank's own formatting and page numbering, which is what makes them verifiable.

Send the four most recent complete months. A part-month adds nothing and often triggers a request for the full set, which costs a day.

If any month looks unusual, say so in a sentence when you send them. A large one-off deposit that was an insurance settlement rather than trading revenue, or a quiet month during a refit — context takes ten seconds to give and prevents an underwriter drawing the wrong conclusion from it.

Check the business name on the statements matches the name on the application exactly, including the entity suffix. Mismatches stall verification more often than any other detail.

Checking what you qualify for takes about 60 seconds, uses a soft credit pull only, and costs nothing. Start an application or request a callback if you would rather talk it through.
